Projects
- Everything listed under Tasks (Projects are simply tasks with subtasks added)
- New subtasks can be 'pinch-inserted' directly in the right place
- When pinch-inserting, dragging right will start creating subtasks, dragging left again will create tasks the level above
- Unlimited depth of subtasks (every subtask can be a subproject)
- Sum of subtask effort (Estimate, Remaining, Actual)
- Project status is based on subtask status (e.g. project becomes Ongoing when first subtask is started)
- Setting project status updates all subtasks (e.g. set a project Waiting and all subtasks are set Waiting)
- Automatic subtask updates based on project values (Due dates, Priority, ...)
- Projects can repeat (entire projects or subprojects can have their own repeats)
- Project subtasks can be dragged and dropped to any position (reorder, drop as lower level subtasks, ...)
Timer
- Timer can be started for a list, a category, a project or an individual task
- The Timer automatically steps through tasks in lists, categories or projects (leaf tasks)
- Timer can be paused and restarted
- Timer keeps running even when TodoCatalyst is not active or phone is off
- Timer has action buttons to process timed task: Completed, Waiting, Next task
- Show Estimate, Remaining and previously captured Actual work time (expandable section)
- Task Remaining time (or estimate) can be directly updated in the Timer
- The timer time value can be edited by longpress (for example if the timer was left running by mistake)
- Popup to update Remaining effort when a task is not Completed
- Popup to set Wait Until date when setting a task Waiting
- TIMER CUSTOMIZATION:
- Show or hide next-coming task (hide for focus, show for subconscious preparation)
- Show or hide seconds (hiding seconds for a calmer experience)
- Automatically start Timer on next-coming task (stay in the flow)
-
The Timer can be shown in every view so tasks can be edited without forgetting that a task is being timed.
Interrupt Timer
- Automatically create a new task and start timing it
- Auto-pause: the Interrupt Timer automatically pauses an already running Timer, and restarts it after the interrupt
- Interrupt tasks are marked as Interrupts, e.g. for statistics
- Interrupt tasks can be interrupted (although we hope you'll never need this)
Templates
- Templates can be fully fledged projects with predefined estimates, due dates, reminders, priorities, repeats, categories etc
- Templates can be created directly from existing projects, subprojects or tasks and will for example reuse actual effort as template estimate
- Projects or tasks can be created directly from a selected Template
- Templates can be inserted into existing tasks (no need to know which template to use when creating the task)
- Templates can be inserted into any level of a project, as tasks or subprojects
- When instantiating a template, all dates can be automatically set relative to a new due date
Lists
- List can be ordered manually using drag and drop
- The view (filtering and sorting) of lists can be customized
- New tasks can be 'pinch-inserted' directly into the desired position in a list
- Operations on selected elements of a list make it easy to edit many tasks at once
- Lists can show different levels of details for tasks/projects (clean, relevant, all)
- Group heading are automatically added when sorting lists on a specific value
- The count of tasks in a list can be set to number of show project 'leaf' tasks instead of projects
Predefined views
- The filtering and sorting of any list, category or subtask list can be customized
- Views can filter (hide) certain tasks (e.g. Waiting tasks) and sort on any value (importance, value/hour, ...)
Categories
- A task or project can be assigned to multiple Categories at once
- Tasks in categories can be manually sorted
- Categories can have their own time blocks (e.g. for Getting Things Done methodology)
- The effort of all tasks is automatically calculated
Reminders
- The Reminders screen shows all expired Reminders that have not been dealt with by the user yet
- If a reminder is triggered while the app is active, the reminders screen is shown directly
- Clicking a system reminder opens the app directly in the Reminders screen
- Default snooze time can be set by user
- All Reminders can be quickly snoozed or cancelled with just one tap
- Each Reminder can be snoozed or cancelled individually
- Snooze interval can be set to any value by longpress
- The text shown in the native (iOS/Android) reminders can be customized
Predefined lists
- "Inbox" is the default list for created tasks (often used with Getting Things Done)
- "Overdue" shows tasks that were before today which are still not completed.
- "Next" shows upcoming tasks (starting tomorrow)
- "Done" shows the recent history of completed tasks sorted by completion date - a quick way to see what work was done
- "Created" shows a 'diary' view with tasks shown in the order in which they were created. It's like keeping a chronological diary of tasks with the status of each one directly visible (similar to e.g. Bullet Journal approach)
- "Edited" shows tasks based on when they were last edited
- "All projects" shows a complete list of all projects
- "All tasks" shows a complete list of all tasks
"Review" view
- Review screen will show completed tasks grouped by either date (by day, week, or month) or by List or Category
- For each group, the view sums up the actual time spent, the estimated time and the sum of the relevant time blocks.
- Subtasks from the same project can be grouped together to summarize project work
- It is possible to group by two levels which is incredibly powerful, for example:
- - see on a weekly basis which categories were worked on.
Navigation in lists
- Navigate long lists easily: tapping the title area jumps to start of list, longpress jumps to bottom, double-tap switches between two last positions
Task and project Estimates
- Intial estimate is automatically used as Remaining time
- Define a default 'average' estimate which is automatically used when you don't set one
- Estimates can be entered textually in task text as "1h15", "20m" or "20min"
- The first estimate for a project is kept so it can be compared to the sum of subtask estimates
- Remaining effort for a task can be automatically updated**
Time blocks
- Time blocks can be defined for lists, categories and individual projects
- Time blocks can be defined as start time and duration, or start and end time
- Time blocks show the tasks or projects that fit into them (based on their estimates)
- Time blocks can repeat and multiple future time blocks can be shown at once
- The Timer can be started for a time block to step through its tasks
Usability
- Define if you want new tasks added to the beginning or end of a list
- Task swipe buttons let you start the timer, star a task or other handy actions like change the due date of an overdue task to today
- Setting to keep phone screen on while app is active
- Setting to keep phone screen on while app is active
- Every screen, field, or setting has built-in help, simply touch the field description or screen title to show/hide it
- TodoCatalyst has multi-platform consistency (the iOS and Android apps are perfectly in sync) so if you switch, you will have exactly the same TodoCatalyst
